Managed Services for Education Data and Identity Automation

Continuous job monitoring, proactive support, and troubleshooting of your account sync and roster automations by data and identity automation experts.

Our dedicated teams support all of your automation jobs regardless of integration platform (Integrator, Clever, Classlink, internal solutions, etc.). Not only do you have access to skilled data engineers, you gain visibility into automation health in a single report delivered to your email.

We keep the jobs running so you don’t have to.

ReadWrite Digital Managed Services watches every job, diagnoses every failure, works with your application vendors on your behalf, and tells you what happened before you have to ask.

THE PROBLEM

Automation Is Great Until It Isn’t.

We’ll keep the sync running, so you don’t have to.

Think about the last month. How much of it went to:

  • Looking at multiple logs, reports, and dashboards for errors in overnight jobs.
  • Rerunning a job that failed on 11 records because somebody made a change in the SIS
  • Explaining your environment to a vendor support rep for the third time
  • Troubleshooting a script that one person wrote and understands and is unavailable when it fails
  • Finding out at 2:00 p.m. that a job stopped at 6:15 a.m
  • Telling a new instructor that yes, the license is coming… the team is working on it
  • Trying to understand, and convey to others, the overall health of your data automations

None of that is a product defect. It’s operations, and operations needs somebody whose actual job is to keep an eye on things – always.

Are You Looking Across Systems to Understand Status?

Your IT Portfolio is a complex array of SIS (sometimes more than one), HR systems, IdP’s and scores (sometimes hundreds) of apps interacting through a combination of automation platforms, scripts, one-off integrations and manual jobs.

Understanding how it all connects is hard enough let alone knowing how well it is working. Our Managed Services reporting gives you “single pane-of-glass” visibility into automation health and changes across the portfolio.

When Things Go Bump, Are Critical Staff Unavailable?

It happens all the time. Whether it’s a platform or bespoke script, automations will stop. Ensuring consistent and adequate coverage across a complex IT Portfolio with in-house teams is challenging at best.

Our dedicated support teams are staffed to provide consistent coverage with SLA backed response and incident management to work issues from detection to recovery and resolution every time.

We have the redundancy of technical expertise necessary for responsive support which is hard for most IT departments to maintain. We are there – every time, all the time.

Are You Explaining the Same Problem Again… and Again?

Every ticket with your application vendor starts at zero because they don’t know your setup. Under Managed Services, we open those tickets, and the engineer working your case has already read your runbook. We make and take the vendor calls. All of them.

Is the Work Growing Even as the Staff to Manage it is Shrinking?

Maybe you are looking at headcount reductions, retirements and always open positions and yet the next semester will start on schedule. At the same time you are probably seeing a growing number of apps which means increased complexity and security risk.

Automation is one way to manage but who is managing the automations? Even if you can’t hire the staff, we can help you meet the need.

HOW IT WORKS

If a Job Fails, We Know Before You Do.

We respect your time and keep you in the loop when necessary, and take care of the rest. Everything is captured in the reporting.

How ReadWrite Digital operates your automations Every job result and platform uptime is monitored. A problem notice opens a case. The case is triaged against a runbook. The job is rerun, released or escalated. The outcome is reported daily, weekly or monthly by service level. When a case escalates it goes to the support engineer first, then the service manager, and only then to the application vendor, internal first, always. The client application owner is notified from the service manager stage. Monitor Every job result. Platform uptime. Alert Problem notice opens a case. Triage Runbook first, not improvisation. REPORTING

You Don't Have to Go Digging.

One view across every integration, delivered to you.

Are any of these familiar?

  • The current integration works fine but forces you through a labyrinth of steps to research anything.
  • You don’t have a single place to look at integration health.
  • You learn about problems from unhappy users instead of getting issues raised before they know.

Reports should be the opposite of that.

Every Managed Services report answers the same questions:

    • what ran
    • what broke
    • and how it was resolved
Reports arrive at the cadence you prefer.

You don't go looking for them, and you don't reconstruct the week from four log screens. When you want the detail behind a line, it's one click to drill down, already filtered to the period in front of you.

Weekly Operational Report

  • 1Overall health for the period, in one word.
  • 2Every integration, its job count, and its success rate, in one table.
  • 3A human flags what's actually driving the noise, not just the automated numbers.
  • 4One click into Integrator to drill down into the details, already filtered to this period.
Weekly operational report showing 76 total jobs, a 96.61 percent success rate, overall health of Stable, per-integration status for five integrations, and a service manager note about elevated alert levels. 1 2 3 4

Weekly Change Report

  • 1What's waiting on your approval, and what carried real risk.
  • 2Every change gets an ID, a classification, and a risk level.
  • 3What actually happened to it.
Weekly change report showing one change logged, none yet completed, none pending approval, no high-impact changes, and the change summary row for a Clever fix with its ID, classification and risk level. 1 2 3

OUR TEAM

Talk to Humans, Not a Chatbot.

You'll know who's working your account.

When we asked customers what they valued most about working with us, in addition to the proactive support, they often named our team members directly. Nobody says that about a ticketing system.

When it's best to have a call, we'll make it happen.

Our teams stay with you, they already know your environment, and they don't rush the conversation.

All staff are based in the United States and trained with the duty of care to keep your student data private and compliant with FERPA, COPPA, and other applicable laws.

LEVELS AND PRICING

Three Levels to Choose From.

At every level you gain access to a dedicated team of technologists, data engineers and service managers based in the U.S. You’ll work with a herd of data nerds cross-trained in the management and care of your education data with documented procedures, security policy and escalations.

Responsiveness is guaranteed by Service Level Agreement so you don’t have to worry about vacations, coverage or when things go bump.

Pricing is representative at a median student count level and provided only for general budget estimation. Final pricing factors include actual number of students and number of applications under management. Contact us for a quote.

Frequently Asked Questions

Can your managed service cover automations in Clever, ClassLink, or Tools4Ever instead of Integrator?

Yes. The service covers automations on Integrator and on third-party platforms including Clever, ClassLink, and Tools4Ever. You do not have to move platforms to hand off operations.

Can you provide Managed Services for more than one automation platform at a time?

Yes, more than one platform can be operated under Managed Services. The service is designed to give you a single view into automation health, and a single call to make when you need something.

Does this only work for K-12 school districts?

No. The service is built for public school districts, charter schools, and career and technical education centers; technology centers; private and independent schools; regional service agencies and consortia; and higher education, including community colleges and four-year programs.

What happens when the person who built an automation is unavailable?

That's a good reason to work with us.

We document your configuration and rules for every application, train multiple engineers on your account, and keep your service manager current on your environment.

The operational knowledge stops living in one person's head, which also means vacations and sick days stop being risk events.

What do we do when the person who built our automations leaves for good?

If the automation needs to be replaced, we'll help you identify and transition to a suitable replacement, whether that's our own platform, Integrator, or another of your choosing. Until that transition is complete, we'll continue to support the automation as it stands.

Do you take over administration of our Active Directory or SIS?

No. You keep administrative ownership of your own systems. We operate the automations that work between them.

If your SIS or directory has a problem of its own, that stays with your team or the vendor, and we handle whatever the automation needs once it clears.

Do you manage data and identity automation and integration incidents?

Yes. We act on and report incidents affecting the automation platforms under Managed Services.

How long does it take to get the managed service up and running?

Kickoff typically starts about two weeks after the agreement is signed. Platform onboarding usually takes about two weeks. Each application takes roughly one to two weeks after that, and applications can run in parallel.

How is your Managed Services team staffed?

ReadWrite Digital has been building and operating education data automation since 2012.

Every support person on your account is based in the United States. Your account keeps the same people rather than rotating through a queue, and they're trained specifically on FERPA, COPPA, and the duty of care that comes with handling student data.

Hand it Off

Send us your platform, your application list, and your calendar. We'll tell you what the service would cover, what it would cost, and what it would take off your plate before the next rollover.
